Accounting Software for Driving Schools in Jordan

A trainee’s package sits in an invoice, and a training car sits in the asset register.

Whether your school is exempt from the invoicing mandate today or required to issue invoices, its packages, cars and purchases have clear figures in one set of books.

Accounting software for driving schools in Jordan starts with three questions: what have your lessons and packages brought in, what do trainees and the companies that train their drivers still owe you, and what do you owe the fuel station, the workshop and your instructors? Add each lesson or package you sell to Qoyod as a service item with its price, tax and revenue account, then issue the trainee’s invoice for the number of lessons.

1. A day in a driving school

Before you choose accounting software for your driving school, look at where your numbers sit today: package prices, what trainees still owe, fuel and workshop invoices, and the training cars.

Packages with scattered prices

A ten lesson package, a twenty lesson one and a single lesson each have a price on a sheet, and all the income lands on one line.

With Qoyod: enter the lesson and the package as two services with their prices, and link each to its revenue account.

A trainee who pays in stages

A trainee pays part at registration and the rest of the package weeks later, and what is left sits in a side notebook.

With Qoyod: enter the package as a credit invoice, add each partial payment as it arrives, and read the remaining balance in the customer statement.

Fuel, a workshop and an instructor, all waiting

The fuel receipt is in a drawer, the workshop invoice is in a message, and the fee of the instructor who contracts with you is on a sheet.

With Qoyod: enter each one as a purchase invoice in its supplier’s name, and watch that supplier’s balance and your payments.

Cars that age every year

The training cars are bought once, and their value sits in a file that never says how much is gone.

With Qoyod: add them as fixed assets through a purchase invoice, and track their depreciation and book value.

2. A package’s journey through your school

A package you price, an invoice you issue and fuel you pay for: five stops that each add a number to the journey card.

Stop 1: A lesson with its price

A lesson is added to Qoyod as a service: a default selling price, a revenue account and a code of its own. Choose its unit of measure or create a new one. A service is never stored or purchased.

Stop 2: A payment before the invoice

When a trainee pays in advance at registration, enter the amount as a receipt voucher under their name, without an invoice. It stays unused until you allocate it to a sales invoice.

Stop 3: The invoice is issued

Issue the sales invoice as cash or credit, with the number of lessons and the price of one lesson on its line. Allocate the receipt voucher to it and watch what was collected and what the trainee still owes.

Stop 4: Fuel and suppliers

Enter the fuel bill, the maintenance bill and the fee of a contract instructor as purchase invoices, each under its own supplier, so anything unpaid stays on that supplier’s balance.

Stop 5: The revenue shows

Qoyod’s preset income statement lists the revenue of each service under the revenue account you linked it to.

3. Accounting Software for Driving Schools in Jordan: what Qoyod covers in your school

E-invoicing and accounting, integrated in one system. Qoyod also covers six more jobs in your driving school.

Lessons and packages with their prices and revenue accounts

Add every lesson or package as a service with a default selling price and a revenue account. Pick its unit of measure, for example the hour, or create a new one, and change the price on the invoice when needed. A service’s tax is set on its card, according to what applies to it.

Invoices for trainees and companies

Issue cash or credit sales invoices to trainees and to companies that train their drivers, record each partial payment, and read the balances in the customer statement and the customer ageing report. More detail in our guide to collecting a credit invoice in JoFotara.

An advance payment at registration

Record what a trainee pays before the invoice as a standalone receipt voucher in their name. It shows as unused until you allocate it to a later sales invoice.

Fuel, maintenance and rent

Enter fuel, maintenance and branch rent bills as purchase invoices, and read each supplier’s balance and your payments to it in the supplier statement.

Training cars as fixed assets

Record the cars as fixed assets through a purchase invoice, follow the depreciation and book value of each, and pull the fixed assets register.

Instructors who bill you for their fees

If an instructor contracts with you and bills you for the fees, set them up as a supplier, record the fees as a purchase invoice in their name, and follow their balance and what you have paid.

Who must use e-invoicing in Jordan

Whether your school is exempt from the invoicing mandate or required to issue invoices, Qoyod keeps the books for your services, purchases and cash, and it is integrated with the National Invoicing System (JoFotara) for when you need it.

5. Your accountant shares the decision

If your school has an accountant or an accounting firm, hear their view on the software before you decide. “Is my activity exempt from the invoicing mandate?” is a question for your accountant and the Department. The books belong in Qoyod.

What you see

  • Purchase and sales invoices.
  • Income statement, balance sheet, trial balance and ageing reports.

7. Frequently asked questions

Does a driving school have to issue invoices through the National Invoicing System (JoFotara)?

The e-invoicing mandate covers every seller of goods or provider of services, not only those registered for General Sales Tax, except for activities that the Invoicing Affairs Instructions exempt under set conditions. A seller that is not registered issues an income invoice. Mandatory application has been in force since 1 April 2025, with oversight steadily tightening. If a business is not required to issue invoices, does that mean it pays no sales tax?

Not by itself. An exemption from the provisions of the Invoicing Regulation, where one applies, does not on its own exempt anyone from General Sales Tax or income tax, each of which has its own law. Check your tax position with your accountant.

How do I add my lessons and packages and their prices to Qoyod?

Add each lesson or package as a product of the type “service”. It takes a default selling price and a sales account, which is the revenue account linked to the service, but no purchase price. A service is not stored, and it is used on sales invoices, quotations and credit notes. Pick its unit of measure from the list or create a new one, then enter the number of lessons as the quantity on the invoice line.

Does Qoyod work out the cost of a single lesson?

No. A service carries no cost in Qoyod, and a car’s depreciation is not spread over lessons. What you do get: the revenue of each service by its revenue account in the income statement, and the depreciation and book value of each car in the fixed assets register.

How do I record what a trainee pays in stages?

Record the package as a credit sales invoice and add each partial payment to it, so its status becomes “Partially paid”. If the trainee pays before the invoice, record the payment as a standalone receipt voucher, which shows as unused until you allocate it to the invoice. To have the customer reminded to pay, turn on the customer payment reminder by email in the sales invoice settings and set the number of days before the due date. A fixed payment schedule the trainee commits to is not shown here, so ask sales what suits your school.

Does Qoyod manage lesson scheduling, test dates, a record for each trainee and test fees?

Qoyod is accounting software. This page shows invoices, balances, purchases, fixed assets and the preset reports. Lesson scheduling, test dates, a record for each trainee, the fees a school collects and pays on to the competent authority, and an instructor’s pay for each lesson given are not shown here, so ask sales what suits your school.

That completes the school’s accounts: its lessons, packages and prices, what its trainees still owe, the invoices for its fuel, workshop and instructors, and its cars.
