Stop 1: In from the supplier

Your shirt arrives with the rest of the shipment on one purchase invoice, which you record under the supplier. You paid part of it, so the rest stays on the supplier’s balance, and each piece’s cost is as you entered it, shipping and customs included.

The e-invoicing mandate covers every seller of goods or provider of services, not only those registered for General Sales Tax, except for activities that the Invoicing Affairs Instructions exempt under set conditions. A seller that is not registered issues an income invoice.

If a business is not required to issue invoices, does that mean it pays no sales tax?

Not by itself. An exemption from the provisions of the Invoicing Regulation, where one applies, does not on its own exempt anyone from General Sales Tax or income tax, each of which has its own law. Check your tax position with your accountant.

How do I manage the sizes and colours of one shirt in Qoyod?

Create attributes such as colour and size, group them, then link the group to the product. Qoyod creates a sub-product for each combination with its own code, starting at a quantity of zero, so split the original product’s quantity across them by reclassifying the product attributes.

Can I see the cost and margin of each piece?

Yes. Enter each piece’s actual cost on its purchase invoice, including shipping and customs, and see its margin in the product cost and profit margin report. The cost shown is the average cost.

How do I record a piece that a customer returns or swaps for another size?

Issue a credit note to take back the piece: the quantity returns to stock and the customer’s balance goes down. To exchange it, issue a new invoice for the replacement item.

Can I record a deposit from a customer before handing over the piece?

Yes. Record the deposit as a customer receipt before the invoice exists, then allocate it to the sales invoice at delivery so it is deducted from the total.

That completes the piece’s numbers: its actual cost, its size and colour, its quantity, its invoice and its margin. That answers the first question.
