Accounting Software for Advertising Agencies in Jordan

Every invoice on its campaign.

Whether your agency is exempt from the invoicing mandate today or required to issue invoices, you record in Qoyod what clients pay, what you owe freelancers and suppliers, and you link each invoice to the campaign it belongs to.

Accounting Software for Advertising Agencies in Jordan starts from one question: how much did you collect on each campaign, and how much did you spend on it? In an advertising agency, from Amman to Zarqa, a client approves a campaign and pays part of it before work begins, then invoices arrive from the photographer, the printer, the freelance designer and the billboard owner, and one of them may cover more than one campaign. Add each campaign to Qoyod as a project, record supplier invoices as purchase invoices, and link the client invoice to the project.

1. From the client’s approval to the last invoice

Before you choose accounting software for an advertising agency, look at where one campaign’s numbers are scattered: the client’s payment, the suppliers’ invoices and what you spent on each campaign.

One supplier invoice, more than one campaign

The photographer or the printer sends a single invoice for two campaigns or more, so it may all land on one campaign.

With Qoyod: in the purchase invoice, pick the project for each line.

A payment before the campaign

The client transfers part of the campaign fee so you can start, and the payment has no place in your books until the invoice is issued.

With Qoyod: record it as a standalone receipt in the client’s name, and it stays unused until you allocate it to their invoice, then see what is still due from them.

A freelancer who sends fees in a message

A designer, a copywriter or a photographer sends the fee in a message, so you do not know how much you have paid or how much is left.

With Qoyod: record the fee as a purchase invoice in their name as a supplier, and review the supplier statement.

Campaigns added up on a side sheet

You add up each campaign’s income and expenses on a side sheet, and add them up again whenever an invoice arrives.

With Qoyod: link the invoices to the campaign’s project, open the income statement, choose Advanced Analysis, then select the project.

Stop 1: The quotation

Issue the client a quotation for the value you set. The details are in our guide to quotations and invoices in the National Invoicing System.

Stop 2: A payment from the client

Record what the client transfers before the invoice as a standalone receipt in their name, and the receipt stays unused until you allocate it to an invoice.

Stop 3: The suppliers’ invoices

Record each supplier’s and freelancer’s invoice as a purchase invoice, and choose for each line the project it belongs to.

Stop 4: The client’s invoice

Issue the sales invoice, link it to the campaign’s project from the “Additional information” tab, allocate the receipt to it, and follow what you have collected and what is left.

Stop 5: The campaign’s income statement

Open the income statement, choose Advanced Analysis and select the project, and the campaign’s expenses and income show, as far as you linked them to it.

3. Accounting Software for Advertising Agencies in Jordan: what Qoyod covers in your agency

Electronic invoicing and integrated accounting in one system. And here are six more jobs Qoyod covers in your advertising agency.

A project for each campaign

Add the campaign as a project in Tasks and Projects, and view sales and purchase invoices, quotations and purchase orders by filtering on the project. Projects depend on your subscription, so ask sales.

A line for each campaign

In a purchase invoice, choose a project for each line, so one supplier invoice is spread across its campaigns. A line with no project takes the invoice’s project.

Freelancers as suppliers

Record the fees of the designer, the photographer and the copywriter as purchase invoices, follow each supplier’s balance, and review their transactions in the supplier statement.

A statement for each campaign

Open the account statement report for a customer or a supplier and add the project filter, and only the transactions linked to the campaign show.

An income statement for each campaign

Put the income statements of several campaigns in columns side by side with Advanced Analysis, to see each campaign’s expenses and income next to the others.

The client’s account on credit

Record credit invoices on the client’s account, and review their balance in the customer statement and the customer ageing report.

The mandate
The e-invoicing mandate covers every seller of goods or provider of services, not only those registered for General Sales Tax, except for activities that the Invoicing Affairs Instructions exempt under set conditions. A seller that is not registered issues an income invoice.

Mandatory application has been in force since 1 April 2025, with oversight steadily tightening.

Who must use e-invoicing in Jordan

Whether your agency is exempt from the invoicing mandate or required to issue invoices, Qoyod keeps the books for your services, purchases and cash, and it is integrated with the National Invoicing System (JoFotara) for when you need it.

5. Your accountant shares the decision

If an accountant or an accounting firm works with your agency, hear their view before you decide on accounting software. The question “is my activity exempt from the invoicing mandate?” is for your accountant and the Department, and the books are for Qoyod.

What you see

  • What you have collected and what each client still owes.
  • What you have paid each supplier and freelancer, and what is left for them.
  • Each campaign’s expenses and income, if you add it as a project.

What your accountant reviews

  • Purchase and sales invoices.
  • Income statement, balance sheet, trial balance and ageing reports.
  • Report exports to Excel and PDF.
  • If your business must issue invoices: the JoFotara status of each one.

Add your accountant as a user on your account, with the role and permissions you set.

6. Other Qoyod products

7. Frequently asked questions

Does an advertising agency have to issue invoices through the National Invoicing System (JoFotara)?

The e-invoicing mandate covers every seller of goods or provider of services, not only those registered for General Sales Tax, except for activities that the Invoicing Affairs Instructions exempt under set conditions. A seller that is not registered issues an income invoice. Mandatory application has been in force since 1 April 2025, with oversight steadily tightening. More detail in our guide to the JoFotara exemption

If a business is not required to issue invoices, does that mean it pays no sales tax?

Not by itself. An exemption from the provisions of the Invoicing Regulation, where one applies, does not on its own exempt anyone from General Sales Tax or income tax, each of which has its own law. Check your tax position with your accountant.

How do I spread one supplier invoice across more than one campaign in Qoyod?

In the purchase invoice, you find an icon beside each line from which you choose the project the line belongs to. A line you give no project takes the invoice’s project. You can change a line’s project as long as the invoice is a draft.

Can I link one sales invoice to more than one campaign?

The project on a sales invoice is set at invoice level only, and it cannot be added at the level of its lines. If you want each campaign to show in its own project, issue an invoice for each campaign.

Can I record an advance from a client, or to a supplier, before the invoice?

Yes, both. Qoyod records the payment as a standalone voucher with no invoice, and it shows as unused until you allocate it to a later invoice: the client’s advance to a sales invoice, the supplier’s advance to a purchase invoice. Once the client’s advance is allocated, what is still due from them falls by that amount, and the invoice total stays as it is.

Does Qoyod manage monthly contracts, team hours and media bookings?

Qoyod is accounting software, and what we show on this page is invoices, purchases, balances, projects and reports. Recurring monthly billing, logging team hours, booking media and connecting to advertising platforms is not something we show here, so ask sales what fits your agency.

That completes the campaign: a payment from your client, invoices from your suppliers, an invoice to your client, and a project for each campaign.
