Stop 1: The project opens with its contract

Add the project in Tasks and Projects and record the contract details in it: its number, start and end dates and value. Attach a copy of the contract.

Stop 2: Its cost is recorded

Record the project’s expenses against it, including your team’s cost as a manual journal entry, from the “Additional information” tab.

Stop 3: The sub-consultant is settled

Record the sub-consultant’s invoice as a purchase invoice on the project, so whatever you have not paid of it stays on the sub-consultant’s balance.

Stop 4: The client is invoiced

Issue your client a sales invoice for the amount you set, link it to the project, and follow what you have collected and what remains.

The project’s result shows in the income statement, filtered by project from Advanced Analysis, and it includes what you recorded against the project.

The e-invoicing mandate covers every seller of goods or provider of services, not only those registered for General Sales Tax, except for activities that the Invoicing Affairs Instructions exempt under set conditions. A seller that is not registered issues an income invoice.

Does an engineering office have to issue invoices through the National Invoicing System (JoFotara)?

The e-invoicing mandate covers every seller of goods or provider of services, not only those registered for General Sales Tax, except for activities that the Invoicing Affairs Instructions exempt under set conditions. If a business is not required to issue invoices, does that mean it pays no sales tax?

Not by itself. An exemption from the provisions of the Invoicing Regulation, where one applies, does not on its own exempt anyone from General Sales Tax or income tax, each of which has its own law. Check your tax position with your accountant.

Does Qoyod have contract management?

No. Qoyod has no direct feature for adding contracts. What you can do is use a project instead: record the contract number, its start and end dates, its value and its details in the project, and link your invoices and expenses to it.

How do I see each project’s result?

Link every expense and every sales invoice to the project, then open the income statement, choose Advanced Analysis and select the project. Its result shows what you recorded against it, and anything not linked to the project does not appear in it.

Is the Projects feature available in my plan?

Ask sales whether it is available in your plan. If you see an “upgrade your plan” message when you open Tasks and Projects, it means the feature is not available in your current plan.

Does the project name show on the printed invoice?

Not unless you add a field for it. The invoice designer has no ready field called “Project”, so add a text additional field named “Project name” for sales invoices in Settings, then show it in the invoice designer. Linking the invoice to the project from “Additional information” is still needed for it to appear in project reports.

That completes the project’s numbers: its contract, its team’s cost, its sub-consultant, its invoice and its result. That answers the first question.
