Electrical Supplies Accounting Software in Jordan

Cable by the roll and the metre, switches by the box and the piece, and a credit sale invoice for the electrician.

Whether your shop is exempt from the invoicing mandate today or required to issue invoices, every item has a unit you buy in and a unit you sell in, and every electrician has a statement.

Electrical Supplies Accounting Software in Jordan starts with an item that comes into the shop in one unit and leaves in another. In an electrical and home appliance shop in Amman or Zarqa, cable arrives on rolls and sells by the metre, switches and kitchenware arrive in boxes and sell by the piece, and the electrician takes what he needs for a job on account. Add each item in Qoyod with its units, issue the electrician a credit sale invoice, and record what he pays against it with a receipt.

1. Where does an electrical shop’s accounting scatter?

Before you choose accounting software for an electrical and home appliance shop in Jordan, check where your numbers go missing today: a unit you buy in and another you sell in, an item that runs out before you notice, an electrician who pays in parts, and goods that come back unfitted.

A roll comes in, metres go out

Cable arrives on rolls and sells by the metre, switches arrive in boxes and sell by the piece, and the book balance stops matching what is in the shop.

With Qoyod: add a second unit to the item through unit conversion, so both units show on your invoices and the stock is counted in the base unit.

A fast item runs out before you reorder

The lamps or circuit breakers that sell fastest run out, and you find out only when a customer asks for them.

With Qoyod: set a reorder limit for each item, and an alert shows on the dashboard when it reaches it.

An electrician takes today and pays later

The electrician takes his materials on account and pays in parts, and his balance sits in a small notebook at the counter.

With Qoyod: issue him a credit sale invoice, record each payment with a receipt, and follow what is left in his statement.

Goods come back unfitted

The electrician brings back switches and sockets he did not need, and the accountant does not know where to post them.

With Qoyod: record them with a credit note, so the quantity of stored items goes back to stock and his balance goes down.

2. One electrician’s order in your books: from the supplier’s roll to the return

From the roll that arrives to the switches that come back, five stops, each writing one line on the journey card.

Stop 1: The cable rolls arrive from the supplier

Enter them on a purchase invoice in the supplier’s name, in the roll unit and at its purchase price, and the cable’s balance goes up in metres, its base unit.

Stop 2: The electrician takes his materials on account

Issue him a sales invoice with the cable by the metre and the switches by the piece; with no receipt recorded against it, it stays a credit sale on his account.

Stop 3: The cable nears its reorder limit

When the available quantity falls to the limit you set for the item in its location, an alert shows on the dashboard.

Stop 4: The electrician pays part of what he owes

Record what he paid with a receipt against his invoice, so it becomes partially paid and the rest stays in his statement.

Stop 5: He brings back switches he did not fit

Record what he returned with a credit note, so the switches go back to stock because they are stored items, and his balance goes down.

3. Electrical Supplies Accounting Software in Jordan: what Qoyod covers in your shop

Electronic invoicing and integrated accounting in one system. And here are six more jobs Qoyod covers in your shop, from the units of a cable to the electrician’s account.

Roll and metre, box and piece

Set the item’s base unit, such as the metre for a cable or the piece for a switch, then add a larger unit through unit conversion: one roll equals a number of metres, or one box equals a number of pieces. Each unit has a purchase price and a selling price that you set yourself, so the price of the roll is not worked out from the price of the metre. The units show on purchase invoices, sales invoices and quotations. Unit conversion is available depending on your subscription, so ask sales about it.

A reorder limit for each item

Enter for each item the quantity you want to be alerted at, and set its location. When the item reaches it, an alert shows on the dashboard, and the stock status chart shows the current quantity and the reorder limit.

The electrician’s and the contractor’s account

Issue the electrician a credit sale invoice, and record what he pays with a receipt against the invoice, in full or in part. Follow his balance in the customer statement, and compare customer debts across periods in the customer ageing report. Qoyod does not support a price list for each customer, so if you agree another price with the electrician you change it on the invoice line. The details are in our guide to collecting a credit sale invoice in JoFotara.

A materials list on a quotation

When a contractor asks for the price of a materials list before he buys, give him a quotation with an expiry date, send it to him or export it to PDF, then turn it into a sales invoice once it is approved. A quotation takes nothing out of stock before it is converted, and it does not convert if the available quantities are short.

Delivering and installing a home appliance

A water heater or a fan comes with a delivery and installation charge: add them as a service with a selling price and tax, and put it on the appliance’s invoice or on an invoice of its own. Print the delivery note from the sales invoice.

A category for each section of the shop

Group your items into categories, such as cables, lighting and household goods, then review the product cost and margin report to see, for each category and location, the available quantity and the average unit cost.

7. Frequently asked questions

Does an electrical and home appliance shop have to issue invoices through the National Invoicing System (JoFotara)?

The e-invoicing mandate covers every seller of goods or provider of services, not only those registered for General Sales Tax, except for activities that the Invoicing Affairs Instructions exempt under set conditions. A seller that is not registered issues an income invoice. Mandatory application has been in force since 1 April 2025, with oversight steadily tightening. If a business is not required to issue invoices, does that mean it pays no sales tax?

Not by itself. An exemption from the provisions of the Invoicing Regulation, where one applies, does not on its own exempt anyone from General Sales Tax or income tax, each of which has its own law. Check your tax position with your accountant.

How do I buy cable by the roll and sell it by the metre?

Open Products and costs, add the cable as a product, and choose the metre as its base unit of measure, which is the unit the stock is counted in. Then go down to the Unit conversion section, press Add more, choose the roll, add it to the units of measure if it is not there, and enter the number of metres in one roll, and the purchase price and selling price of the roll. Both units show on purchase invoices, sales invoices and quotations, and Qoyod does not work out the price of the roll from the price of the metre. If the item already has operations, do not change its base unit: add further units only. Unit conversion is available depending on your subscription.

How do I follow an electrician who buys on account and pays in parts?

Issue the sales invoice with no receipt, and it stays a credit sale. When he pays, open Sales, then Sales invoices, choose Pay against invoice, and create a new receipt for the amount you collected, in full or in part, so the invoice becomes paid or partially paid. You find the receipts under Customer receipts, the balance in the customer statement, and you compare debts across periods in the customer ageing report.

How do I record goods an electrician returns without fitting them?

Issue a credit note on the sales invoice, in full or in part, so the quantity of stored items goes back to stock, the customer’s balance goes down, and the original invoice stays as it is. If he wants another item instead, issue him a new sales invoice for the replacement.

Can I sell to an electrician at a different price from a walk-in customer?

Qoyod does not support a price list for each customer, and it does not tie a fixed price to a customer’s name. What you do is change the unit price on the sales invoice line or the quotation line when you agree a price with the electrician. The product cost and margin report shows the net selling price you actually sold at, with the average unit cost.

That brings the shop’s accounts together in one place: the cable roll and its metres, every electrician’s account, the goods that came back, and the items it is time to reorder.
