Orders by the carton, invoices with payment terms, and one receipt that settles more than one invoice.
Whether your company is exempt from the invoicing mandate today or required to issue invoices, every order has an invoice with a due date, and every customer has a statement.
Wholesale Accounting Software in Jordan follows the order from the supplier to the customer. In a wholesale company in Amman, Zarqa or Irbid, cartons arrive from the factory or the importer and go out on account to grocery stores, restaurants and businesses. Give the customer a sales invoice with payment terms, and allocate each receipt across his invoices.
1. Where do a wholesale company’s numbers go missing?
Before you choose accounting software for a wholesale and supply company in Jordan, follow a single order through your books today: how much you ordered from the supplier, how much arrived, when the customer’s balance falls due, and which invoice a payment settled.
One transfer for several invoices
A grocery owner sends a rounded transfer that covers two invoices and part of a third, and none of that shows in the ledger.
With Qoyod: record the transfer on one receipt and allocate it across his invoices, so each invoice shows as paid or partially paid.
A payment date nobody remembers
You agree with a restaurant that it pays after 30 days, and the month goes by without anyone noticing.
With Qoyod: choose the payment terms on the sales invoice so the due date is set, and the invoice shows as overdue if it passes that date without being paid in full.
The supplier sends less than you ordered
You order 200 cartons and 180 arrive, and the accountant pays for what you ordered, not for what came in.
With Qoyod: convert the purchase order into a purchase invoice and change its quantity to what you actually received.
One item in two warehouses
You keep one warehouse in the industrial area and another near the market, and you do not know how much is left in each.
With Qoyod: add each warehouse as a location, and check the available quantity of the item in each location in the product locations report.
2. A wholesale order in your books: from the purchase order to the debit note
Five stops from one order, from the purchase order that goes to the supplier to the cartons that go back to him, each writing one line on the journey card.
Stop 1: A purchase order goes to the supplier
List the items, quantities and prices you agreed on the purchase order, and email it to the supplier. A purchase order records nothing in your accounts or your stock until it becomes a purchase invoice.
Stop 2: 180 cartons arrive out of 200
Choose Convert to invoice on the purchase order and change the quantity to what arrived before you save, so the available quantity of the stored items goes up in the warehouse where you received them.
Stop 3: A credit sale invoice for the grocery store
Issue the sales invoice and choose the payment terms you agreed with the grocery owner, so the due date is set, and the invoice stays a credit sale until you record a receipt against it.
Stop 4: One transfer covers two invoices
Record the transfer on one receipt, allocate part of it to the older invoice so it becomes paid, and the rest to the newer one so it becomes partially paid.
Stop 5: Damaged cartons go back to the supplier
Issue a debit note for the quantity you return, so it leaves your stock, then allocate it to the supplier’s unpaid invoices or record a refund.
3. Wholesale Accounting Software in Jordan: what Qoyod covers in your company
E-invoicing and full accounting in one system. Here are six more jobs Qoyod covers in a wholesale and supply company, from the purchase order to each customer’s balance.
The purchase order, from draft to invoiced
Save a purchase order as a draft to review it, or save and approve it, then convert it into a purchase invoice when the goods arrive. The list shows each order’s status, including overdue when an order passes its expiry date without being invoiced. Pay several supplier invoices with one payment voucher, and check what you owe in the supplier statement and the supplier ageing report.
A quotation for a business before it orders
When a business asks for prices on a list of items before it buys, give it a quotation with an expiry date, send it or download it as a PDF, then convert it into a sales invoice once it is approved. A quotation does not reduce stock before it is converted, and it cannot be converted unless the available quantities are enough.
Payment terms for every agreement
Set up your payment terms once, each with its name and number of days, such as after 30 days or after 60 days, then choose one on the sales invoice and the due date is set. Follow what each customer still owes in the customer statement, and compare debts across periods in the customer ageing report. More in our guide to collecting a credit sale invoice in JoFotara.
The discount on an invoice line
Add a discount to an invoice line as a percentage or an amount, and set for each user in the settings the maximum discount percentage they cannot go beyond. Qoyod does not support a price list for each customer, so when you agree a different price with a customer, you change the unit price on the line.
The carton and the piece in one item
Choose the piece as the item’s base unit, then add the carton under Unit conversion with its number of pieces, and set the purchase price and selling price of each unit yourself. Both units show on invoices, quotations and purchase orders.
Warehouses and transfers between them
Add each warehouse as a location with its own inventory account, choose it on every invoice, and transfer goods between locations immediately or as goods in transit. The product locations report shows the available quantity of each item in each location.
Some of these capabilities depend on your subscription, such as purchase orders, unit conversion and stock transfers between locations, so ask sales about them.
4. Wholesale and supply companies and the National Invoicing System
Discuss your company’s position with your accountant.

7. Frequently asked questions
Does a wholesale and supply company have to issue invoices through the National Invoicing System (JoFotara)?
The e-invoicing mandate covers every seller of goods or provider of services, not only those registered for General Sales Tax, except for activities that the Invoicing Affairs Instructions exempt under set conditions. A seller that is not registered issues an income invoice. Mandatory application has been in force since 1 April 2025, with oversight steadily tightening. Other sectors were added to the list in Article (4) of the Invoicing Affairs Instructions by later amendments, so it is not a closed list. Check the text in force for your activity with the Income and Sales Tax Department.

If a business is not required to issue invoices, does that mean it pays no sales tax?
Not by itself. An exemption from the provisions of the Invoicing Regulation, where one applies, does not on its own exempt anyone from General Sales Tax or income tax, each of which has its own law. Check your tax position with your accountant.
How do I record a customer transfer that covers more than one invoice?
Open Sales, then Customer receipts, create a customer receipt, choose the customer and enter the amount of the transfer. Then select the invoices it pays, enter the amount allocated to each, and save. If the amount is less than the invoices’ total, allocate it by priority; the invoices you allocate nothing to stay approved until another receipt.

Can I give each customer a fixed wholesale price?
Qoyod does not support a price list for each customer, and it does not tie a fixed price to a customer’s name. What you do is change the unit price on the sales invoice or quotation line when you agree a price with the customer, or add a line discount within the maximum discount percentage you set for the user.
Does Qoyod stop sales to a customer who goes over a set amount?
Setting a credit limit for a customer is not available in Qoyod at present. What you follow is the customer’s balance in the customer statement, his invoices that have passed their due date and show as overdue, and customer debts across periods in the customer ageing report.
How do I deliver one order in two parts?
A sales invoice has one delivery note, which cannot be split across deliveries. If you deliver the order in two parts, record the details of each delivery in the notes field of the sales invoice. If you want to invoice the order in parts, give the customer a quotation for the whole order, then add each part you invoice as a separate sales invoice.
That brings the order together in your company’s books: what you ordered from the supplier and what arrived, what each customer owes and when it falls due, and the goods that went back.
